School Office - Administration Assistant Apprentice

Cross Lane Primary School are looking to appoint an Apprentice Administration Assistant to work in our busy school office.

This apprenticeship involves learning and putting into practice the broad range of reception and administration skills, including customer care and IT skills, required in a busy school office.  You will need excellent communication skills as you will regularly answer the office phone and liaise with members of the public and staff regarding school-related enquiries.  You will also need a good attention to detail to ensure your work is accurate.

Your training and work experience will be structured to meet the requirements of a Level 2 Business Administration framework over a 12-18 month period.

Main Roles & Responsibilities:

Reception Duties:

  • Answering the telephone in a polite and professional manner promptly ·
  • Greeting visitors on arrival in a polite, welcoming manner.
  • Ensure all visitors sign in and follow school procedures
  • Handling visitors’ requests in a helpful, efficient way.
  • Ensure all messages are dealt with efficiently and appropriately making sure a contact telephone number is taken and then passed on to the relevant person(s) in an efficient and timely manner.
  • To inform the Manager if a visitor raises a concern or complaint.
  • To ensure reception and waiting areas are kept neat, tidy and safe.

General Administration:

  • To ensure an active part is taken with the general duties of maintaining running a smooth office environment.
  • Filing
  • Using word and data processing software
  • Produce notices, dinner menus and letters to parents
  • Photocopying, scanning, laminating and shredding
  • Collation and distribution of documents,
  • Entering information in an accurate and timely manner
  • To be proactive in seeking to acquire new skills which will be to the benefit of the school, such as any training courses, reading etc.
  • Undertake various administration duties that will involve, corresponding by email and letter.
  • To abide by and implement all policies and procedures of Cross Lane Primary School, including being aware of and responsible corporately and as an individual for Health & Safety policies and procedures.
  • This is not an exhaustive list but there will be a various tasks as instructed by Headteacher and Business Manager in addition to the above that you will be required to undertake to meet the aims and objectives of the organisation.

Working Hours/Days:

8.30 am to 3.30 pm

30 hours per week

Skills Required:

  • Good knowledge of a range of systems/equipment (Word, Excel, PowerPoint, Access)
  • Good organisational skills.
  • Ability to work efficiently on own initiative and under pressure whilst maintaining a high standard.
  • Ability to communicate with people at all levels
  • Ability to work in a team and on your own
  • Prioritise work
  • Excellent attention to detail and accurate reporting.
  • Good written and oral skills
  • Good numeracy skills

Qualifications Required:

Educated to GSCE (or equivalent) level in English and Maths.

Future Prospects:

There is a possibility of a permanent position and/or further training following successful achievement of the apprenticeship training and employment programme. This however is not guaranteed. This role will provide you the invaluable experience of managing and organising a busy school office. Working closely with the Business Manager you get the opportunity to learn various skills that are sought after by employers.

The successful candidate will work towards a level 2 in Business Administration with Calderdale College.

Salary: £3.70 /hour
